Proper Evidence is the biggest and the most crucial piece of information to even lodge a grievance or to base one’s argument else any amount of complaint without the proof of complaint is like a gun without a bullet .
and again what is the proof ? that i called your help line number ? unless and otherwise the call itself is recorded.
Moreover merely registering a complaint on your Website may OR may not give a proof of acknowledgement back to the person registering the complaint, but by writing and sending an e-mail mail , one at least retains the proof of sending the email complaint , since a copy of the sent e-mail gets stored in the sent box of the e-mail system even if delivery of the mail itself fails , which is a good enough proof in-itself, as far as ‘proof of making or attempting to make a complaint’ is concerned.
That is why every organization whether Private/non-government or Government in the world should have it’s official email for the general public published on it’s Website the way publishing of RTI has been made compulsory for Govt organizations , else just writing a complaint or feedback/suggestion on the website without getting an acknowledgment will not do full justice in creating an evidence or proof of complaint. Moreover even if the acknowledgement is given for registering the complaint on the Website , it will be only in the the form of a docket/token number or a service ticket number which again does not contain the contents or details in case of a complaint being made which is different from suggestion/feedback as complaints are more serious in nature than mere suggestions or feedbacks.
So I think your dept and your Organization would agree that it is ‘Better to be safe than be sorry ‘
I hope i have made my point which is not only logical but also creates Transparency and thereby creates a win win situation for all the parties involved.
